The Village of Lincolnshire is pleased to announce the recruitment and selection process for the position of a full-time Records Clerk. The Records Clerk is responsible for performing a variety of clerical and secretarial work including data entry, filing, recordkeeping, maintaining accurate records of Police Department files, and providing quality customer service. As a Records Clerk, there is an expectation of handling a wide variety of complex and confidential duties requiring analysis and attention to detail.

 

 

Salary Range:

 

$45,500 - $62,500 depending on qualifications

 

 

Background:

 

The Village of Lincolnshire is located approximately 34 miles north of downtown
Chicago. The current population is approximately 7,275 and is projected to be 8,500 by the year 2020. The Village covers an area of roughly 4.5 square miles and has over 38 miles of highways, roads and streets.

 

The Village of Lincolnshire is an upscale community characterized by higher than average household earnings, highly educated residents and a diverse population encompassing all ages, occupations and incomes. A growing population of middle to high income households lives within a three mile radius of the Village. Lincolnshire has a strong and dynamic economic base. It is home to the Lincolnshire Corporate Center, Alight (formerly Aon-Hewitt), Marriottís Lincolnshire Resort, the Lincolnshire Business Center consisting of the Commons and City Park Shopping Centers, Millbrook Office Park and the CDW Center at Tri-State Office Park. Several upscale restaurants, retail establishments and hotels are also located within the Village.  Lincolnshire is also home to three elementary schools and Stevenson High School, a nationally ranked high school, with approximately 4,000 students.

 

 

Essential Duties:

  • Performs detailed data entry for various functions including, but not limited to, court transmittals, accidents, warrants, and citations

  • Conducts regular record audits and verifies data is accurate and makes corrections if needed. 

  • Maintains police reports and arrest records through the Departmentís Records Management System, as well as purging court ordered or state-mandated sealing and expungement of records

  • Assists the Department in disposing of records as authorized by the Records Destruction Act including the review of historical records to determine value and/or eligibility for destruction

  • Reviews and ensures all police reports are accounted and processed with a high degree of accuracy, and in a timely manner

  • Files and maintains documents and correspondence, including confidential records and information, in records system according to established file classification system

  • Provides quality customer service including answering and screening telephone calls and handling questions and concerns from walk-in citizens

  • Handles non-criminal, walk-in reports including data collection and entry into the Departmentís report writing system

  • Processes person, vehicle, and location alert messages to Department personnel

  • Assists with non-criminal fingerprinting requests

  • Collects payment, fines, and fees from the general public

  • Assists investigations with audio transcriptions as needed

  • Processes applications for permits and licenses including, but not limited to, overweight truck permits, solicitor permits, block parties, raffle permits, and liquor licenses

  • Creates invoices for false alarms, contract details, and other police services

  • Receives and responds to freedom of information requests, requests from attorneys, and requests from other agencies

  • Compiles, produces, and distributes monthly statistical data for the Department and State

  • Processes, updates, and maintains identification cards for Village staff

  • Monitors booking area and prisoners as needed

  • Assists in Police Departmentís property/evidence function including performing transfer of digital media, entering of physical property, documenting related items to appropriate locations within the Department, and disposing of evidence when authorized

  • Creates daily briefing material for supervisors

  • Assists in Villageís digital document management and archiving program as needed

  • Notarizes documents as requested

  • Provides backup to other positions within the Police Department or Village Hall as needed

  • Performs other duties as needed

 

Minimum Education, Skills and Experience Required:

  • Requires skills, knowledge and educational development equivalent to the completion of four years of high school, including courses in typing and computer data entry.

  • Must have one to two years clerical experience.  Prior police records experience preferred. 

  • Working knowledge of Tyler Technologies New World Public Safety Software Solutions preferred.

  • Microsoft Office computer software knowledge preferred.

  • Requires ability to courteously and precisely receive and respond to requests for service and information.

  • Requires ability to type at a working rate of speed (40-60 wpm) with minimal error.
