POSITION REPORTS TO:

 

Police Commander

 

 

Summary:

 

Under the direction of the Police Commander, the Records Clerk performs a wide range of clerical, custodial record care, communication, receptionist, and research related activities for the Police Department using various computer systems.

 

 

Essential Duties and Responsibilities:

  1. Processes all case files by performing data entry, filing, and accounting for all reports including: case files, written reports, citations, accident reports, and other miscellaneous documents into the Computer Information System (CIS) and New World Law Enforcement Records System (LERMS) databases

  2. Responds to requests for subpoenas, reports, accidents, information from the general public pursuant to the Illinois Freedom of Information Act by telephone, mail, e-mail, or in person

  3. Prepares and distributes photocopies of reports to the appropriate division or outside agency, such as: the States Attorney’s Office, Department of Transportation, other Police Departments and Insurance Agencies

  4. Prepares detailed monthly reports and other reporting tools with or without use of the database systems

  5. Answers incoming phone calls and serves individuals that come into the Police Department

  6. Retrieves, sorts and distributes incoming mail and prepares outgoing mail

  7. Conducts finger printing services as needed

  8. Performs prisoner searches as needed

  9. Assists LEADS Coordinator as needed

  10. Performs other duties as assigned

 

Knowledge, Skills & Abilities:

 

The individual must be able to perform each essential duty. The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

 

Educational Background:

  • High school diploma or equivalent supplemented by secretarial, bookkeeping, or business school classes and/or training.

  • One to three years’ experience in performing clerical work and/or other applicable experience.

 

Skills and Abilities:

  • Maintain accurate records

  • Handle multiple projects at the same time

  • Read, write, analyze, and interpret complex documents

  • Extensive knowledge of office software applications

  • Prioritize, organize, and perform work independently

  • Maintain confidentiality and make responsible decisions in accordance with established policies and procedures

  • Effectively communicate complex technical issues and potentially controversial topics to public groups, co-workers and residents. Establish and maintain good working relationships with other employees and residents

  • Write clear and concise reports without grammatical or typographic errors

  • Accomplish assigned tasks with a minimum of supervision and direction

 

Physical Demands:

 

While performing this job, the employee is frequently required to sit for extended periods. The employee must possess sufficient visual acuity to prepare and inspect documents, handle and operate office equipment. Must be able to hear average conversations, reach with hands and arms, walk, bend, crouch, lift and move up to 25 pounds, carry, push, pull or otherwise move objects.

 

 

Work Environment:

 

The noise level in the work environment is moderate to low. Temperature is climate controlled, and there are no unusual hazardous or significantly unpleasant conditions.

 

 

The annual salary ranges from $50,734 - $73,247.
