Position Details

Principal Responsibilities:

  • Provide excellent customer service to Police Department staff, other law enforcement agencies, and the public both in person, over the phone, and through electronic correspondence.
  • Compile, enter, record and organize a wide variety of police records including tickets, reports, warrants, memos, letters, reports, complaints, booking information, restraining orders, citations and fingerprint results.
  • Maintain records management system (LEADS) ensuring accurate data entry, storage, and access; maintain compliance of records management system with various federal and state requirements.
  • Receive/process parking ticket payments and complaints; distribute citation review forms; refer non-payments to collection or court.
  • Run a variety of inquiries through the LEADS system; communicate shift activities and compile necessary LEADS documents; perform LEADS validations with DuComm.
  • Provide records and statistical information to Village personnel or affiliated agencies.
  • Prepare, develop and analyze a variety of reports, documents.
  • Draft correspondence.
  • Prepare and send out accident reports to the Illinois Department of Transportation.
  • Manage and distribute crime reports, traffic reports, citations, warnings or any other forms generated by Department to the appropriate personnel and agencies.
  • Act as a liaison between the Police Department, State's Attorney and the Circuit Clerk of Court office; maintain continuity between departments; summarizes officers' appearances in traffic court and prepares case files for police personnel.
  • Attend traffic court and monitor testimony, convictions and dismissals.
  • Check weekly traffic cases for charges through the computer system; prepare officers' court schedules; produce case files needed in court; process court-mandated expungement of arrest records.
  • Gather, review, and apply redactions to records in response to requests made under the Illinois Freedom of Information Act Operate and monitor security system.
  • Performs other duties as assigned. 

Education, Experience, and Skills:

  • High school diploma or equivalent.
  • Must be at least 18 years of age.
  • Knowledge of modern office practices and techniques with skills in applying state and federal laws, codes and regulations governing Police records management preferred.
  • Excellent public service skills; bilingual skills a plus.
  • Excellent written and oral communications skills with the ability to react in an appropriate manner in sensitive situations as well as handle confidential information with discretion are necessary.
  • Ability to act in a professional manner with the ability to exercise tact and diplomacy as needed to provide support to diverse work group and customer base.
  • Strong organizational skills and attention to detail are required in order to prioritize both the workload and manage large volumes of other work related activities and tasks as needed.
  • Ability to work under pressure and have the ability to take the initiative to solve problems and assume responsibility to establish and maintain quality standards.
  • Skills in compiling and maintaining accurate, complex and extensive records.
  • General knowledge of Police Department policies, procedures and LEADS preferred.
