Position Details

Overview:

The Records supervisor is tasked with planning, organizing, and supervising the Records Division of the Bolingbrook Police Department. The Records Supervisor is expected to exercise independent judgment with guidance and direction from police administration. In addition, the position provides training and direction for the input and retrieval of law enforcement data in local, State, and Federal law enforcement database systems. 

Responsibilities:

The job duties include, but are not limited to the following:

• Serve as “Custodian of Records” for the Bolingbrook Police Department, including accepting and responding to subpoenas, State’s Attorney’s requests, and Freedom of Information Act (“FOIA”) requests for the release of records.
• Supervise, assign, review, and participate in the work of record clerks and record aides; maintain wide-ranging knowledge of records management systems; manage police records collection, retention, storage, and dissemination; and coordinate with other organizations for the effective coordination and dissemination of public safety information.
• Evaluate employee performance by means of performance evaluations; recommend and assist in the implementation of employee goals and objectives; make recommendations on hiring, training, discipline, and other related personnel matters, coupled with initiating progressive discipline as required.
• Exercise independent judgment when issuing discipline, up to and including written reprimands, approve/deny the use of benefit time, and adjust grievances at “Step 1” of the grievance process.
• Mentor, counsel, and resolve conflicts among civilian division members; ensure compliance with Village policies and Bolingbrook Police Department orders, rules, regulations, policies, and procedures.
• Design work schedules and processes for providing office services and support within the Records Division.
• Performs related duties as required.
