Records Clerk (Part-Time)

The Village of East Dundee is seeking a responsible and energetic individual to join our Police Department as a Part-Time Records Clerk.

The Part-Time Records Clerk is a non-sworn position in the Department. This position is classified as a part-time, non-exempt, non-union position who reports to the Deputy Police Chief. All applicants must be able to work flexible hours between the hours of 8:00 a.m. to 6:00 p.m., Monday through Friday. The individual will an average 30 hours per week.

The Village of East Dundee, a home rule community as defined by the Illinois Constitution, is located approximately 35 miles west of the City of Chicago, primarily in Kane County with a small portion in Cook County. East Dundee encompasses approximately 3.1 square miles. The Fox River is the western border of the Village and the Fox River Bike Trail runs through the Village's historic downtown district. Residents and visitors of East Dundee can enjoy an array of dining, retail, social and outdoor activities, including Santa's Village Azoosment & Water Park. A picturesque historic downtown, with the former train depot (now a visitor center) in the heart of the district is home to many popular year-round special events hosted by the Village and outside organizations.

The Police Department of the Village of East Dundee strives to keep the community of East Dundee and its residents safe and secure through dedicated professional Police personnel who establish partnerships within the community to prevent crime and promote community safety. Members of the Police Department provide timely, effective, and unbiased community service as professionals with integrity and respect. The East Dundee Police Department is an Illinois Law Enforcement Accreditation Program (ILEAP) accredited, full-service police department. The Police Department maintains 24-hour, seven day a week police coverage for the community. The Police Department is currently staffed with thirteen full and six part time sworn officers and one non-sworn staff member. 

Position Responsibilities & Duties:

The Part-Time Records Clerk position will assist staff with:

• Classifying, indexing, filing, storing and purging reports and record information into the Records Manage System.
• Compiling and submitting all necessary reports to Federal, State and County agencies.
• Process Federal Bureau of Investigation (FBI) Disposition Reports by filing and submitting once case is adjudicated.
• Process subpoenas for State's Attorney's Office, Defense Attorney's Office, and private legal firms, as necessary.
• Respond to customer inquiries via email, phone, or face-to-face requests; and
• Assist with administrative duties for the Chief of Police
• Fill in for Full-Time Clerk during vacation periods.
• Other duties as assigned. 

Minimum Qualifications:

• High school diploma or General Education Degree (GED) supplemented by training in typing
• One to two years of clerical or data entry experience; or
• Equivalent combination of education and experience
• Experience working for a Village or Police Department is preferred

The successful candidate will possess the following characteristics and abilities:

• Ability to deal with the public tactfully and courteously
• Ability to use a variety of computer programs such as Microsoft Word, Excel, New World Systems
• Ability to proofread, photocopy, collate, sort, file, and prepare documents for mailing
• Must be able to pass a criminal background check and be eligible for LEADS/NCIC access.
