Position Details

GENERAL DESCRIPTION:

The Glen Ellyn Police Department is a vibrant organization for a community of roughly 28,000 residents in the western suburbs of Chicago.

We are recruiting for Executive Assistant, a new position that is part of a restructuring and effort to properly classify a formerly part-time administrative position.

Working under the direction of the Chief of Police, the Executive Assistant provides complex research-based, technical, financial, and/or policy driven analysis and administrative support to the Police Department. A successful candidate will possess an understanding of organizational and basic operational aspects of municipal government, be knowledgeable in budgetary principles and practices, be familiar with payroll practices and implementation, work well among various groups within and outside of the organization, and provide administrative services to the Executive Staff.

ESSENTIAL FUNCTIONS:

  • Administrative:
    • Manage payroll in a complex system with numerous classifications.
    • Assist in preparation of annual budget for Police Department.
    • Manage all police budgetary issues, including accounts payable.
    • Oversee routine updating of Police Department webpage and electronic signage.
    • Assist in developing and implementing goals, objectives, practices, policies, procedures, and work standards.
    • Provide Administrative Assistance to Command Staff, including Chief, Deputy Chief, 3 Commanders, Administrative Sergeant, and Emergency Training Coordinator.
    • Serve as Department representative on various committees & projects, and coordinate activities with other Village departments, outside agencies & organizations, and community groups.
    • Receive and respond to customer and vendor-related inquiries and concerns.
    • Provide training to staff and other groups as needed.
    • Manage Crossing Guard program.
    • Manage coordination of Police Community Room, including scheduling and set-up.
  • Community Relations:
    • Represent the Police Department to other Village departments, elected officials outside agencies, and the public.
    • Explain policies and activities.
    • Attend Village Board meetings and commission/committee meetings as needed and participate in professional groups and committees.
    • Disseminate information to residents about the Police Department activities and programs through a variety of means and social media platforms. 

QUALIFICATIONS/REQUIREMENTS:

  • Any combination of experience and/or education that would provide the knowledge, skills and abilities necessary to satisfactorily perform the duties is qualifying.
  • A typical combination is:
    • High school diploma.
    • At least two years of progressively responsible administrative & analytical experience.
    • Demonstrated ability to manage organizational responsibilities, including administrative functions, such as payroll, scheduling, etc.
    • Experience working with a municipality or other local government agency.
    • Proven record of coordination among different organizations.
  • A valid Illinois driver's license. 

Work environment would primarily be an office setting. The duties of this job can include physical activities such as stooping, kneeling, standing, reaching, climbing, walking, lifting, and/or moving (up to 30 pounds), grasping, pulling, twisting, talking, hearing/listening, seeing/observing, and repetitive motions. Specific vision abilities required by this job include close, distance, and peripheral vision; depth perception and the ability to adjust focus.

WORK SCHEDULE:

Monday-Friday, 8:00 am – 4:30 pm, with occasional evening and/or weekend obligations.
