Position Details

This position is under Administrative direction, oversees the operation of the Record division. This is very specialized work in the assembly, classification, synthesis, and reporting of criminal identification, offense, arrest and other police records. This position will oversee and make sure the Village is in compliance with all the rules, policies, procedures, and regulations required by the State of Illinois.

Essential Duties and Responsibilities:

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive.

  • Responsible for the supervision of the records unit personnel.
  • Develops and publishes record services and operation policies and procedures; prepares and conducts communication personnel training sessions and proficiency programs.
  • Maintains knowledge of current record techniques and information through attendance at training sessions and review of appropriate publications.
  • Compiles statistics pertaining to calls for service, and other areas as needed or directed.
  • Tracks reports submitted to the records division
  • P1 administrator and tracks reports for entry into the P1 system
  • LEADS delegate
  • Oversee the supplies needed and requested by staff
  • Submits helpdesk tickets to 911, village IT and work orders to public works
  • Processes payments of parking tickets, AWT's, kennel fees and prepares deposits for the finance department.
  • Processes Crime free housing and rentals deposits for the finance department
  • Tracks false alarms and prepares the invoices for the accounts receivable department
  • Freedom of Information officer for FOIA requests
  • Process subpoenas when necessary
  • Jail report which is submitted to the State of Illinois
  • Train new staff and record orientation for new officers.
  • Evaluate staff and discipline staff when necessary
  • Handles record expungements
  • Check the integrity of reports in P1 and other reporting done by staff for accuracy
  • Weekly press releases
  • Approve time sheets and time off requests for staff in payroll system.
  • Performs other related work as required. 

Minimum Training and Experience Required to Perform Essential Job Functions:

  • Prefers an Associate's Degree in Business Management or similar field with a minimum of three years experience in Records or related fields also three years of supervisory experience.
  • Any combination of training and experience that would provide the required knowledge, abilities and skills is allowed.
  • Must have knowledge of applicable LEADS rules and regulations, legislation affecting records retention and FOIA, management principles, maintain active LEADS certification.
  • Requires the ability to master computer skills required of employees under Chief's command.
  • Must pass a background investigation.
  • Must have valid Illinois Drivers License.
