Description:
This position provides high-level administrative and technical assistance necessary for the daily operations and administration of the Police Department’s Support Services Bureau, specifically the accreditation program (CALEA), FOIA requests, financial management, as well as other administrative support tasks. Employee has regular access, at the departmental level, to a wide variety of confidential information, including police reports of a sensitive nature, criminal and internal investigations, property and/or evidence records, and court records.
Examples of Duties:
- Supports the Accreditation Manager to ensure the Department meets and maintains those standards required by the Commission on Accreditation for Law Enforcement Agencies (CALEA). Prepares documents, assists with reports, and organizes time sensitive documents utilized in the accreditation process. Maintains the appropriate accreditation files in PowerDMS.
- Monitors changes to professional standards, laws and department practices and works with the Administrative Services Manager to update policies accordingly. Facilitates staff review of newly proposed policies and proposed changes to existing policies. Keeps a detailed file documenting staff review and comments/changes to any proposed order along with the final draft of any order.
- Provides video footage (body cameras, facility cameras, and squad car cameras) requested for court purposes, FOIA, OPS, other entities requesting footage. Ensures proper redaction and release policies are followed. Properly follows the chain of custody for the integrity of evidence.
- Prepares and reviews Freedom of Information (FOIA) requests for compliance with state law.
- Prepares and tracks purchasing and accounts payable records.
- Provides the Chief and Deputy Chief of Support Services with quarterly budget reports.
- Generates invoices for police services and miscellaneous billing.
- Serves as the Department Quartermaster.
- Assists with maintaining training files.
- Assists in the drafting, design and maintenance of various department forms, brochures and flyers.
- Assists in the creation of content for various social media channels.
- Performs administrative functions such as: organizing and preparing required reports on a daily, monthly, and annual basis; accurately maintains and updates files on a daily basis Schedules and coordinates various meetings and events.
- Attends meetings, seminars, and conferences of professional associations in order to keep abreast of trends and developments in the field, and to represent the Department’s interest before these groups.
Qualifications:
Education and Experience:
- Completion of a Bachelor's degree from an accredited college of university in public or business administration, political science or related field.
- Minimum of three (3) years municipal experience or an equivalent combination of experience and education to sufficiently perform the job.
Licenses and Certifications:
- Possession of a valid Illinois driver’s license with a satisfactory driving record.
- State of Illinois LEADS certification or the ability to complete within one year of hire.
- Continued employment is contingent upon all required licenses and certifications being maintained in active status without suspension or revocation.
Desired Capabilities:

- Ability to maintain accurate, detailed records and confidential information and prioritize work in a fast-paced environment while navigating frequent interruptions and deadlines.
Supplemental Information:
This position may occasionally work irregular hours including possible evenings and weekends.
