Position Details

Are you tech-savvy, detail-oriented, and ready to make an impact behind the scenes of public safety? The Village of Huntley is seeking an organized and motivated Police Records Clerk who excels in using technology to manage information efficiently and accurately. This position is ideal for someone who enjoys working with databases, digital records, and modern communication tools while providing exceptional customer service to both the public and internal departments.

Under the general supervision of the Records Supervisor, this position is responsible for performing a wide variety of routine, complex, and confidential clerical duties related to the maintenance of Police Department records, including, but not limited to, maintaining and updating reports in the Department’s records management system, compiling and entering data of criminal incidents, answering telephone calls and routing calls appropriately, and composing basic correspondence. This position involves extensive public contact and serves as the public’s first point of contact with the Police Department via phone, in person, and online.

Example of Duties:

  • Maintains and updates records in the Department’s record management system; maintains the integrity of documents and information sensitive to public safety and law enforcement; verifies and cross-checks information before entering records; and ensures accuracy and completeness of information before entering into the appropriate databases.
  • Answers non-emergency calls and assists walk-in customers. Provides direct assistance to the public and other Village employees.
  • Performs record checks; processes payments, subpoenas, and expungements.
  • Assists in collection and preparation of documents necessary for department FOIA requests and submits them through the Village’s portal for review within the applicable timeframe per law.
  • Processes all facets of parking tickets, including data entry, receipt, and payments; prepares second notices and assigns court dates for unpaid parking tickets.
  • Electronically transmits citations to the Circuit Court Clerk.
  • Retrieves, records, and summarizes information from databases and reports information as required; assists in preparing various statistical reports.

Qualifications:

Education and Experience:

  • High school diploma or equivalent with a minimum of two years of clerical experience requiring record keeping and public contact.
  • Previous work experience in law enforcement or public safety is preferred.

License and Certifications:

  • Possession of a valid Illinois driver’s license with a satisfactory driving record.
  • Completion of all required NIMS courses or the ability to complete within one year of hire.
  • State of Illinois LEADS certification or ability to obtain upon hire.

Continued employment is contingent upon all required licenses and certifications being maintained in active status without suspension or revocation.

Examples of required knowledge, skills, and abilities:

  • Working knowledge of standard cash handling practices.
  • Intermediate knowledge of personal computer skills, email, Microsoft Office Suite, and database activity.
  • Skilled in customer relations.
  • Ability to handle confidential material and information in an ethical, professional manner.
  • Ability to accurately prepare and maintain records, files, and reports. 

Supplemental Information:

Hours:

Full-time, non-exempt, 40 hours per week. Typical work hours are Monday through Friday, 8:00 a.m. to 5 p.m.

Post Offer Requirements:

Successful completion of a post-offer background check is required.
